Searching for a Hubdoc alternative usually means one of two things. Either the Hubdoc name has disappeared from your Xero and you want to know what replaced it, or Hubdoc never read your invoices well enough and you want something better. Those are different problems, so this covers both.

Short answer

The job Hubdoc did now sits inside Xero as Smart Document Capture, and it is included in the Australian plans, though the cheapest plan lists basic extraction only. Try that before you buy anything, because for most small businesses it removes the reason to look elsewhere.

What happened to Hubdoc, as far as anyone can actually verify

Xero's Australian page at the old Hubdoc address now describes a feature called Smart Document Capture and does not mention Hubdoc anywhere on it. Xero's own product blog says that feature began rolling out across most markets in July 2026 and arrived in Australia and New Zealand as a beta.

The Australian pricing page no longer sells Hubdoc as a named feature either. Several articles state confidently that Hubdoc shut down on one specific day in May 2026. So here is the version we can stand behind: the Hubdoc brand is being retired, the capture job has moved inside Xero, and the rollout has been staged by country.

Test the tool you are already paying for, in about twenty minutes

1In Xero, open Business, then Bills to pay, and look at the upload or capture option. Check whether Xero gives you an email address you can forward bills to, because forwarding is where the time actually goes back into your day.
2Send three real invoices from three different suppliers. Include one scan or phone photo, not just clean PDFs, because that is where capture tools separate.
3Check what came back against the paper: supplier, invoice number, date, total and GST. Fix anything wrong.

The free method, in full, and it is better than it sounds

If you receive twenty or thirty supplier invoices a month, an email rule and a spreadsheet genuinely compete with paid software. No company selling capture software is going to tell you that, so it is worth saying plainly.

1Make one mail folder called Bills, and one rule that files anything with invoice, tax invoice or statement in the subject line into it. In Gmail this is a filter, in Outlook it is a rule.
2Keep one spreadsheet with a row per bill: supplier, invoice number, date, amount, GST, due date, paid. Nothing else.
3Once a week, work the folder top to bottom. One row per invoice, then save the file into a folder named by year and month so you can find it later.
4At month end, compare the sheet against the bank feed. A payment in the bank with no row is a bill you never filed, and that is the error that actually costs you.

At thirty invoices a month this costs roughly an hour a week. Software earns its price when that hour becomes three, or when the job passes to someone else who cannot be trained into your habits.

The paid alternatives, and who each one is genuinely for

We have not measured accuracy across these tools, so this page does not rank them by it. Anyone publishing an accuracy percentage without saying which documents they tested is guessing, and you should treat that number the way you would treat any other number with no source.

DocuClipper and the statement readers: Aimed at bank and card statements as much as invoices. If your real problem is a PDF statement rather than a supplier bill, these are the right shape and a bills tool is not.
Xero's own file storage, if you only need the document: If all you want is the invoice attached to the transaction so it can be found at BAS time, Xero stores files without extracting anything, and that costs nothing on top of your plan.

The four questions that actually decide this

What does it do when it is unsure: A blank field you can see is an inconvenience. A confidently wrong total is a problem you may not find until an accountant does, months later. Ask to see how a tool reports the documents it could not read.
Does it code the bill, or only read it: Typing the number is not the slow part. Deciding which account and which GST treatment it belongs to is the slow part. A tool that reads perfectly and codes nothing has saved you the easy half.
Can you get your documents back out: Ask how you export every original file if you leave. If the answer is one at a time, that is a cost you pay later rather than now.
Does it cope with a photo: In Australian trades and hospitality a lot of invoices arrive as a phone photo taken on a ute bonnet. Test that specifically, because it is where most tools quietly fall over.
